INFORMATION SHARED BETWEEN OSS SERVICES
Organic Sales System operates an interconnected suite of software tools and business programs. To provide a seamless customer experience, limited customer information may be shared across our internal infrastructure:
• Identity and Access Management: Single sign-on authentication records (managed via Firebase Auth) and subscription entitlements (synced via Stripe customer records) are coordinated across tools so you can manage your OSS software licenses.
• Marketing and Educational Delivery: If you participate in The Accelerator or purchase OSS training programs, your contact details and active program tags are maintained within our centralized CRM and marketing systems (ClickFunnels) to deliver course resources and member announcements.
• Data Compartmentalization: We maintain strict boundaries between distinct application databases. Your private GroupTrack CRM pipelines, Yello collaboration messages, and ANA AI chat logs are housed in isolated project databases and are never merged or commingled across unrelated products without your explicit integration setup.
MARKETING COMMUNICATIONS
We may send marketing emails where permitted by law or where you have requested or consented to receive them.
You may unsubscribe by:
• Clicking the unsubscribe link in a marketing email
• Contacting support@organicsalessystem.com
Unsubscribing from marketing messages will not prevent us from sending transactional, security, billing, support, or account-related communications.
The Accelerator and OSS courses do not currently use SMS or text messages for program communications.
DATA RETENTION
We retain personal information for as long as your account remains active and as reasonably necessary to fulfill the operational purposes described in this Privacy Notice:
• Account & Contact Data: Maintained throughout the duration of your active subscription. Upon cancellation, customer data (such as GroupTrack contacts, Yello profiles, CommentBack logs, and ANA AI chat histories) is preserved to permit account reactivation, but may be permanently archived or purged at OSS’s discretion after reasonable dormancy.
• Customer-Initiated Deletions: When you delete specific records (such as individual chat threads, messages, or custom teams), they are removed immediately from live operational databases.
• Backups & Transaction Records: Encrypted, rolling point-in-time disaster recovery snapshots are rotated out in accordance with standard cloud infrastructure lifecycles (typically within 30 to 90 days). Invoices, billing history, and tax records are retained as required by applicable statutory financial regulations.
11. DATA SECURITY CONTROLS
We implement comprehensive administrative, technical, and physical security measures to safeguard your information:
• Encryption Standards: All customer data across every OSS product is encrypted in transit using Transport Layer Security (TLS 1.2/1.3) and encrypted at rest using industry-standard AES-256 encryption within Google Cloud Platform / Firebase infrastructure.
• Encrypted Backups: All automated system backups and disaster-recovery snapshots are stored in encrypted cloud environments.
• Administrative Access Controls: Production systems and databases are restricted strictly to authorized engineering personnel on a least-privilege, role-based access control (RBAC) model, protected by mandatory multi-factor authentication (MFA).
INTERNATIONAL DATA TRANSFERS
Organic Sales System is based in the United States. Personal information may be processed in the United States or other countries where we or our service providers operate.
Where applicable law requires a transfer mechanism, we will use recognized safeguards or another legally permitted mechanism.

• Lodge a complaint with a data-protection authority
• Exercise your rights without discriminatory treatment

We may need to verify your identity before completing a request.
An authorized agent may submit a request where permitted by law, subject to appropriate verification.

PRODUCT-SPECIFIC DISCLOSURES
A. GROUPTRACK
GroupTrack is a customer relationship management (CRM) platform designed to help businesses, creators, and sales professionals capture, organize, track, and follow up with prospective leads across social media. GroupTrack operates through a companion browser extension and a web-based dashboard application.
Supported Platforms and Operation:
GroupTrack officially integrates with and supports four social and community platforms: Facebook, Instagram, LinkedIn, and Skool.
Data Read by the Browser Extension:
The GroupTrack browser extension functions within the user’s authenticated browser session. When active on supported platforms, the extension reads publicly accessible page elements visible on screen, including:
• Prospect names, usernames, and profile URLs
• Profile photos and avatar images
• Public bio details and company/workplace descriptions
• Post comments, reactions, and timestamp metadata
• Community member lists and group membership screening question answers
User-Initiated Collection:
GroupTrack operates strictly on an on-demand, user-initiated basis. The browser extension does not run continuous, autonomous, or background scraping of social platforms. Prospect details and social data are only captured, read, and saved to your CRM database when you deliberately take an action—such as clicking to add a contact, queuing contacts from a post or group, importing screening responses, or applying a tag.
Message and Conversation Content Handling:
GroupTrack does not continuously monitor, ingest, or store the private text content of your social direct messages or Messenger conversation threads. GroupTrack only records timestamped metadata that a message was sent, links to open the external conversation on the respective platform, and custom notes, tags, or message templates that you explicitly create and save within GroupTrack.
Data Retention After Cancellation or Deletion:
• Cancellation: When a paid subscription is canceled, full paid access continues through the end of the current billing cycle. Your contact records, pipelines, tags, and notes are preserved in our secure databases to allow seamless resumption of service if you choose to resubscribe.
• Permanent Account Deletion: If you contact support to request permanent deletion of your account, your user account, team associations, contact records, pipelines, notes, and custom assets are permanently purged from active production databases. Residual encrypted copies may temporarily persist in rolling disaster-recovery database backups until routinely overwritten in accordance with standard cloud infrastructure lifecycle schedules. Users may also export their full contact list (including custom fields and pipeline stages) to CSV at any time prior to account closure.
B. ANA AI
ANA AI is an AI-powered social-sales analysis tool provided via a web dashboard and browser extension that helps users analyze selected profiles, posts, comments, conversation threads, and other online content.
Depending on the feature used, ANA AI may process:
• Prompts, questions, and chat messages submitted by the user
• Visible profile information, posts, comments, and conversation threads on supported websites
• Content from private groups, restricted pages, or direct messages that is visible on screen during the user’s authenticated browser session, when selected or submitted by the user
• User business context, including offer details, target audience descriptions, and brand guidelines
• Generated analyses, chat responses, and workflow recommendations
• Account usage metrics and token consumption
AI Processing and Providers:
ANA AI utilizes commercial enterprise APIs from third-party artificial intelligence providers—including OpenAI, Anthropic, and Google Cloud (Gemini)—to analyze submitted content and generate outputs. Submitted prompts, visible page content, and relevant business context are transmitted to the selected provider when you initiate an analysis or chat request. Identifying information (such as names and handles) appearing in the analyzed content is transmitted as part of the raw text without automated redaction. Under our commercial enterprise agreements, these providers do not use customer data to train their models and retain standard transient API logs strictly for operational security and abuse monitoring.
Data Storage and User Deletion Controls:
ANA AI stores both your submitted prompt/context history and the resulting AI-generated responses to provide continuous conversation threads and saved history. Users may view past conversations and delete individual chat threads directly within the extension interface at any time; deleted threads are permanently removed from active databases immediately. Team owners may likewise delete custom teams and associated shared resources. Account-level records and saved data are retained while your account remains open and are not automatically deleted upon subscription expiration or cancellation unless an account deletion is requested.
C. YELLO
Yello is a creator collaboration platform designed to help newsletter writers, podcasters, and content creators discover potential partners, cross-promote, and arrange creative collaborations.
Information Processed and Public Visibility:
Yello only displays profiles for creators who have intentionally registered and completed onboarding; Yello does not create unverified or third-party placeholder profiles for unregistered creators.
Profile information—including your chosen display name, avatar photograph, biography, niche topics, Substack handle and audience metrics (displayed as ranges), external social links, and collaboration preferences—is publicly accessible on the web and visible to anyone visiting your profile link or browsing the creator directory (“The Lot”). These public profile pages may be crawled and indexed by search engines like Google. Private contact details (such as your account email address) and payment/billing records remain private and are never displayed publicly.
Third-Party Data Synchronization:
When you link your Substack account, Yello connects to Substack’s public user API on-demand to import your public subscriber and follower counts, profile photo, and bio. This information is only imported or refreshed when you initiate or request a synchronization in your profile settings.
Messaging and Communications:
Direct messages, collaboration pitches, and conversation threads are sent, processed, and stored directly within the Yello platform. Users have controls to soft-delete individual messages, hide conversations, or block specific users from initiating contact. Yello does not process, intermediate, hold in escrow, or take fees from financial transactions between creators; any sponsorships or collaboration payments are settled independently off-platform.
Artificial Intelligence and Matching:
Yello utilizes Google Cloud Vertex AI (including the text-embedding-004 model and the Gemini model family) to power its semantic natural-language creator search, generate compatibility scores, and suggest relevant conversation topics between potential collaborators. Processing occurs via commercial enterprise APIs that do not use customer data for foundation model training.
Account Controls and Retention:
Active profiles, messages, and collaboration history are retained while your account remains active. Users may deactivate their profile at any time to immediately hide it from public search and disable messaging, or contact support to request permanent deletion of their account, profile data, and associated media files.

Associated access may be removed when the primary membership ends or the participant is no longer authorized.
CUSTOMER INFORMATION
The Accelerator and OSS courses do not require participants to provide us with information about their customers.
Participants should not submit customer lists, private customer records, passwords, payment information, Social Security numbers, protected health information, confidential legal information, or other sensitive third-party information.
If a participant voluntarily shares information about another person, the participant is responsible for having the authority and any required permission to share it.
AUTHORIZED COACHES AND CONSULTANTS
Authorized employees, contractors, coaches, and consultants may access participant information when reasonably necessary to administer a program, deliver coaching, respond to questions, maintain resources, or perform authorized services for OSS.
These individuals are expected to handle participant information only for authorized purposes and subject to appropriate confidentiality obligations.
Jenna Larson may deliver coaching and educational services as an authorized consultant to Organic Sales System.
LIVE COACHING CALLS AND RECORDINGS

Accelerator coaching calls are recorded through Zoom. Zoom automatically notifies participants when recording begins.
Recordings may capture:
• Display name and profile photograph
• Image, video, voice, and audio
• Questions and comments
• Call-chat messages
• Attendance and participation
• Business information voluntarily discussed
• Screen shares and other materials
Recordings are stored in Dropbox and uploaded to the Accelerator portal hosted through ClickFunnels.

Subject to applicable program terms and law, Organic Sales System may use recordings or portions of recordings in:
• Marketing emails
• Sales pages
• Social-media content
• Advertisements
• Educational content
• Promotional videos
• Presentations
• Other marketing materials
This may include clips, quotations, screenshots, audio, video, or descriptions of a participant’s experience or results.
Participants who do not want their image, voice, name, or business information included should keep their camera and microphone turned off and avoid sharing identifying information during recorded calls.
CALL TRANSCRIPTS AND CHATGPT BUSINESS
Organic Sales System may create or obtain transcripts of recorded coaching calls and submit them through an OSS ChatGPT Business workspace.
We may use ChatGPT Business to:
• Summarize calls
• Identify questions and action items
• Organize lessons
• Develop educational resources
• Create participant follow-up materials
• Improve program delivery
• Assist with marketing and email content
• Support program administration
Transcripts may contain participant names, questions, comments, business information, coaching recommendations, and other information discussed during a call.
Names and identifying details are not routinely removed before transcripts are submitted.
Organic Sales System has not opted in to allow its ChatGPT Business data to be used to train or improve OpenAI’s models. According to OpenAI’s published commitments, ChatGPT Business data is not used to train OpenAI’s models by default.
Information submitted through ChatGPT Business is processed and retained according to the workspace configuration and OpenAI’s applicable terms, policies, and retention practices.
Participants should not disclose confidential, sensitive, or legally protected information during recorded calls.
FACEBOOK COMMUNITY
Active Accelerator members receive access to a private Facebook group used as the program community.
Members may create posts, ask questions, comment, react, share materials, interact with other members, and connect through Facebook’s social and messaging features.
Information published in the group is visible to other authorized members and may be processed by Facebook according to its own terms and privacy practices.
Members can delete their own posts and comments.
Organic Sales System may review, moderate, or remove group content to administer the program, provide support, maintain standards, and enforce program rules.
Private communications between members through Facebook or Messenger are facilitated by Facebook. Organic Sales System does not control those conversations.
Members lose access to the Facebook group when their active paid membership ends. Removal from the group does not automatically delete content previously shared through Facebook.
CLICKFUNNELS PORTAL
The Accelerator and OSS courses are delivered through ClickFunnels.
Depending on the purchase, the portal may provide:
• Course lessons
• Training videos
• Templates and downloads
• Custom ChatGPT resources
• Coaching-call recordings
• Transcripts or summaries
• Program announcements
• Other educational resources
ClickFunnels may process names, email addresses, login information, access permissions, purchase status, portal activity, device data, and technical information.
We use this information to provide access, administer programs, troubleshoot problems, understand participation, improve products, and provide support.
COURSE ACCESS
The duration of access to a course depends on the terms presented at purchase.
Course access may be provided for a defined period, while a subscription remains active, for as long as the course remains available, or according to another period stated on the sales page or checkout.
Purchasing a course does not necessarily include Accelerator membership, live coaching, Facebook-group access, future products, private coaching, consulting, or fractional services.
EMAIL COMMUNICATIONS
Accelerator members and course customers may be added to a separate email list or identified using a product-specific tag.
We may send purchase confirmations, login information, coaching reminders, program announcements, portal updates, course messages, support communications, and related educational or marketing emails.
Recipients may unsubscribe from marketing emails. Unsubscribing will not stop communications necessary to administer an active membership, account, or purchase.
The Accelerator and OSS courses do not currently use SMS for program communications.
CUSTOM CHATGPT RESOURCES
Accelerator members and course customers may receive access to custom ChatGPT resources designed to support implementation.
Information users submit through these resources is processed by OpenAI and subject to the terms, settings, and privacy practices applicable to the user’s ChatGPT account and the particular resource.
Users should not enter customer records, private conversations, passwords, payment information, protected health information, confidential legal information, or other highly sensitive information.
TESTIMONIALS AND RESULTS
Organic Sales System may invite participants to provide feedback, reviews, testimonials, success stories, business results, screenshots, or audio and video statements.
Providing a testimonial is voluntary.
Subject to applicable authorization, program terms, and law, Organic Sales System may publicly use a participant’s name, photograph, company name, image, voice, statements, results, screenshots, or participation.
Permission to use a testimonial or marketing excerpt does not authorize disclosure of unrelated private account, billing, or business information.
CANCELLATION
When an Accelerator member cancels or stops paying:
• Access to coaching ends
• Facebook-group access is removed
• ClickFunnels portal access is removed
• Access to recordings and active resources ends
• Associated team-member access may be removed
Cancellation does not automatically delete purchase records, email records, support communications, recordings, transcripts, Facebook posts, backups, or records retained for legal and business purposes.
Course access after purchase is governed by the terms presented at checkout.
RETENTION
We retain Accelerator and course information for as long as reasonably necessary to deliver the purchase, maintain access, process payments, provide support, maintain educational resources, keep accounting records, resolve disputes, enforce program terms, prevent fraud, and meet legal obligations.
Information may remain in systems operated by Stripe, Zoom, Dropbox, ClickFunnels, Facebook, OpenAI, email providers, customer-support providers, and Organic Sales System.
Third-party retention is also governed by the applicable platform’s settings, terms, and policies.
